Since the last newsletter, we have been working hard on enhancements to the system to ensure that GeM is working well for you all. In this issue we have items on the contracts database, supplier adoption, catalogues, system enhancements, the GeM user group and new training dates
Supplier Adoption update
We are pleased to announce that there are four additional suppliers ready to trade on GeM. Institutions who are using the eMarketplace can now buy products on the eMarketplace using a P-card. These new suppliers are:
As soon as a supplier is live on the site we will update the information on our website and on Twitter. If you would like to receive an automated eMail when a supplier goes live please send me an email and I will add you to the mailing list
We now have 45 supplier catalogues uploaded into GeM with more catalogues to be added in the next few weeks. The system now allows you to view catalogues through the system and also to download them for use within your institution. If there are any catalogues which you would like to see on GeM please contact supplier adoption on either 0118 935 7081 or firstname.lastname@example.org.
As we advertised in the November issue, we have been working with @UK on a number of system enhancements to ensure that GeM meets your needs. This month we are pleased to announce the following enhancements have now been made. Due to the nature of the enhancements, we have an online tutorial for the new subscription report, however, should you require training on any of the other enhancements please contact JISC Procureweb on either 029 2087 0333 or email@example.com.
New Subscription report
The subscription report available in GeM now allows users to view all contracts that an institution has opted-in or opted-out of. The report can also been downloaded into an excel spread sheet. To view the report, please go to the 'All Contracts' tab and select 'Subscription Report'. Training on this new function is available on the training page of our website.
Price List document category
There is now a 'Price List' document category that can be used to highlight attachments in GeM that contain contract price information.
All contracts and agreements now show an external link that can be pasted into other websites to create a direct link to the contract or agreement.
View Catalogues on Contracts
It is now possible to view and download the catalogue items associated with a contract on the contract page. Price information relating to the catalogues will also become available via the contract page over the next few weeks.
Contract Manager Report
There is a new report available to any institution or group that manages contracts on the system. The Contract Manager report lists all contract owners, managers and any other contacts associated with contracts owned by an institution. The report can be found by going to the 'Local Contracts' (just 'Contracts' menu for consortia contract managers) menu and selecting 'Contracts Report'.
Request for quotes
The Request for Quote function is currently being tested by the JISC Procureweb team and will shortly be tested by a user group to ensure that the function fully meets user requirements.
Phase Two Developments
We are currently testing phase two assessments with the view to release these shortly. Further information will be released following further testing by JISC Procureweb to ensure that these enhancements meet user requirements.
GeM User Group
A successful inaugural meeting of the GeM user group took place in London on Monday 28th November. The group has been established in order to share good practice amongst the user community, consider and influence future development of GeM and identify user requirements in light of any operational requirements. The member list, terms of reference and action points of this meeting are now available on the GeM website. The next meeting of the group will be held in February in Birmingham.
We have added a number of new online and face to face GeM training dates to the website. Webinar training sessions will run fortnightly and have been split into three modules to cover Buyers and Contract Managers. This will enable users of the contracts database and eMarketplace to attend appropriate training sessions. The sessions will run fortnightly with a 45 minute session covering viewing contracts and purchasing using contracted pricing and a two hour session aimed at those managing contracts.
We will also be running monthly two and a half hour face to face sessions for Contract Managers at @UK's offices in Aldermaston, Berkshire. Please visit the website for dates of the next session.
